Introduction
Is your email ready under ‘Drafts’ in the left menu? Then you can send it immediately or schedule it for later. With Xendy, you can do this easily, directly from the drafts list or while editing the email.
Send newsletter from the email editor
You can send or schedule your newsletter in two ways:
Option 1: from the drafts list
- Click ‘Drafts‘ in the left menu.
- Find the draft you want to send.
- Click the three dots on the right side of that draft.
- Choose ‘Send‘ to send the email immediately, or choose ‘Schedule‘ to schedule the email for a later time.
Option 2: from the email editor
- Click ‘Drafts‘ in the left menu.
- Open the email you want to send by clicking on its name.
- Click the ‘Send‘ button in the top right of the editor.
- Choose ‘Send‘ to send the email immediately, or ‘Schedule‘ to schedule it for a later time.
In both cases, a pop-up appears where you can choose which segment you want to send the email to.
Selecting the right segment
After clicking ‘Send‘ or ‘Schedule‘, you will see a pop-up with your selected email at the top. Below, you will see a dropdown where you can choose who to send the email to.
By default, Xendy selects ‘All contacts‘. This sends the email to everyone, except blocked contacts (unsubscribes, bounces, and excluded contacts).
You can also choose a specific segment:
- Manual segment – Contacts you have specifically added to a list, for example by manual entry, uploading a CSV or Excel file, or via a form or pop-up on your website.
- Dynamic segment – Contacts in a dynamic segment are determined by filter rules. Think of customers from specific regions or those who made a purchase in the last 30 days.
Scheduling vs. sending immediately
After selecting ‘All contacts’ or a specific segment, you can decide whether you want to send the newsletter immediately or schedule it for later.
If you choose ‘Schedule’
- Select the date and time you want to send the email.
- Review the summary on the screen. It shows:
- The selected email
- The recipient segment
- The scheduled send time
- Complete the reCAPTCHA to confirm you are not a robot.
- Click ‘Schedule‘ to confirm. Your email is now queued to be sent at the selected time.
If you choose ‘Send immediately’
- Review the summary as above.
- Complete the reCAPTCHA.
- Click ‘Send now’ to send the newsletter immediately to your selected contacts.
Xendy handles the sending process and starts tracking the results immediately.
Manage scheduled newsletters
Once you schedule an email, it appears under ‘Scheduled‘ in the left menu. Here you can monitor or edit your upcoming emails.
Cancel a scheduled email
- Go to ‘Scheduled‘ in the left menu.
- Find the email you want to cancel.
- Click the three dots next to it.
- Select ‘Cancel‘.
The email will be removed from the schedule and will not be sent.
Do you want to edit or reschedule the email? After cancelling, the email returns to ‘Drafts‘ in the left menu, where you can make changes and schedule it again.
Once the scheduled send time is reached, the email automatically moves from ‘Scheduled‘ to ‘Sent‘.
After sending: email statistics
Once your newsletter is sent, it moves to ‘Sent‘ in the left menu. Here you can track the performance of each campaign in real time.
Xendy tracks important statistics, including:
- Sent: total number of delivered emails.
- Opened: number of unique recipients who opened your email.
- Clicks: number of clicks on a link within the email.
- Unsubscribed: number of contacts who unsubscribed via the unsubscribe link in the email.
- Bounces: number of emails that bounced and were not delivered.
- Complaints: number of contacts who marked the email as spam, for example in Outlook or Gmail.
- Revenue: total revenue generated (available for webshops with an active integration).
- Send time: the exact time the email was sent.
These statistics are updated in real time, so you can view and analyse performance immediately after sending.

You cannot edit a scheduled email directly. However, you can cancel it under ‘Scheduled‘, make your changes in ‘Drafts‘, and then schedule it again.
